Wedding photo proofing workflow, from the shoot to delivery

Proofing is where many photographers lose the most time: endless messages, long lists of file numbers and unclear edit requests. A clear workflow means faster delivery and happier clients.

1. Agree on it in the contract

State how many photos are edited, how many go into the album, the deadline for picking and how many revision rounds are included. Clients who know this upfront pick faster.

2. Cull before sharing

Remove duplicates, closed eyes and missed focus before sharing. A reasonable number of photos makes decisions easier.

3. Send the gallery with a deadline

Send one link with a short guide on how to pick and a clear deadline. Split the photos into parts such as ceremony, reception and portraits.

4. Let clients pick and comment on the photo

Clients use color flags to confirm picks, hearts for favorites and drawings to mark exactly what to fix. Every note stays on the right photo, so nothing gets mixed up.

5. Get the list and edit

Export the file names of the picks to Lightroom or Capture One to filter them in seconds, then edit following the client’s notes.

6. Deliver and archive

Upload the edits to the same album, send them back through the same link and keep the album so clients can return to it.

Summary

Good proofing starts with the contract and ends with a clean delivery. The right tools take most of the time out of everything in between.
